Excel Academy was founded in 2003 with the mission to provide a high-quality, free, and public education to students in East Boston and Chelsea Massachusetts, communities that are predominantly low-income and Latinx and historically have faced significant social and educational barriers. Our success in Massachusetts is proof that the opportunity gap can be closed and we opened a new school in Rhode Island in 2022. About the Role

The Operations Associate is a full-time, year-round position that reports to the Dean of Operations and serves as a member of the school’s Operations Team. The Operations Associate provides administrative support to ensure the school runs smoothly and manages key aspects of school operations. The salary range for this position is expected to be $44,250-$55,250 commensurate with experience.

Duties and Responsibilities

  • Responsibilities include, but are not limited to:
  • Manage the front lobby and main office of the school
  • Answer the phone, receive visitors and manage external visitors and vendors
  • Ensure clear systems for sending and receiving physical mail and packages
  • Provide administrative and operational support to ensure the school runs smoothly
  • Order and setup food for staff for special events and professional development days
  • Own materials setup for MCAS testing
  • Track and maintain student records
  • Own daily attendance and automated family communications re: attendance
  • Facilitate communication with families by sending auto-calls and text messages
  • Manage the school’s e-fax electronic fax system
  • Manage the school’s printers, troubleshoot issues and call the vendor for support with escalated issues
  • Manage Excel Academy’ Chelsea’s Nutrition Program
  • Complete annual trainings, including ServSafe, to ensure compliance with state and federal regulations
  • Order breakfast, lunch, and snack for students each week
  • Complete monthly claims paperwork for the school to be reimbursed for meals
    Manage school supplies and storage
  • Create systems to ensure supply storage is tidy and stocked
  • Purchase supplies for staff spaces including the staff lounge and shared supply cabinets
  • Manage finances and bookkeeping
  • Own the fidelity of the school’s purchase order system to facilitate purchasing for staff
  • Complete the monthly credit card reconciliation for the school’s credit card
  • Manage the school’s Chromebook inventory
  • Support with troubleshooting Chromebooks
  • Design and monitor systems for Chromebooks to be managed in the classroom
  • Track damage and loss
  • Ensure the accuracy of annual inventory and setup processes
  • Contact the school’s Chromebook vendor for escalated issues and support
  • Support student recruitment and enrollment efforts
  • Serve as a productive member of Excel’s Operations Team

Qualifications

  • The ability to speak Spanish preferred;
  • A minimum of two years of experience in an urban public school or charter school setting preferred, but not required;
  • Systematic and structured approach to project management with a demonstrated ability to carry out multiple projects in parallel
  • A commitment to working with underserved, urban youth;
  • An unwavering commitment to and belief in the mission of Excel Academy Charter Schools, including Excel’s values and educational model;
  • The ability to focus and thrive in a fast paced, entrepreneurial environment;
  • The ability to work effectively in a team environment and the willingness and desire to support others in doing their best work; and
